Elijah conducted the meeting in Thad’s absence and  called the meeting to order at 6:30 PM.

1. Additions & Corrections: Maureen added Scholarship/Essay Contest under 6h.
2. Approval of October 12th, 2023 Minutes: Paige made a motion and Maureen seconded it to approve the minutes.  Motion passed.
3. Treasurer’s Report-Diana: Diana went over the November financial report.  Hal made a motion and Carol seconded it.  Motion passed.

5. Project Updates:
   1. Inspired Movement Project (Digital Playscape): No Report.
   2. Focus Hope October 14th-Cheryl: While no KVCC members were in attendance, Cheryl reported that about 660 food boxes were built .  A sorority of about six ladies helped the Plymouth-Canton Civitan Club.
6. Upcoming Projects:
   1. Desert Angels November 16th Packing Party:

i.Centennial Middle School finished with a count of 553 items, and Millennium Middle School finished with a count of over 800 items.  Theresa passed around a picture of the kids at Centennial Middle School. A thank-you letter needs to be sent to the two schools.  Maureen will prepare it and they will be sent after the packing party so pictures can also be sent to the schools showing what they helped to accomplish.
ii.Volunteer Forms:  Kids can bring their own, or Cheryl has some generic forms that can be completed and signed that night by Thad as club president.  This allows the kids to get recognition/credit for their volunteer work.
iii.Donations: Elijah stated the number of donations collected so far is down from last years collection. Paulina has over 250 books that she’ll bring to the packing party. iv.Trailer: Elijah will use Diana’s trailer (which is all enclosed) to pick up and take items to the Lyon Twp. Municipal Center located at 58000 Grand River in New Hudson, 48165.
v.Food: Pizza, dessert, and drinks: Karissa will oversee Pizza.  She’ll plan for about 75 attendees.  Diana will bring the general account debit card to order additional pizza if needed.  Since Theresa will not be in attendance, she’s given Diana the plates, napkins , cups, and tablecloths.  Maureen will also bring additional plates and napkins.  Cheryl and Hal will bring the 2-liter beverages and additional cups.  Any beverages left over will be used at the club’s Christmas party. Diana will bring the cookies.
vi.iPad: Volunteer Database: Diana passed around a QR code for members to see the log that’s going to be used to get a database of the attendee’s.  Discussion was what needed to be added/revised: club upcoming activities and club membership.
vii.Civitan Info Table: Cheryl will bring a table and the club’s tablecloth.  She’ll have Civitan/KVCC brochures that attendee’s can pick up.  Vivian and Maureen will man the table. 
viii.Set-up planning, arriving at 5 PM: Plan to arrive at 5 PM to help unload the trailer and setting up.  The public will start to arrive at 5:30 PM.  The discussion was about having a coloring/card station for individuals to color.  Cheryl will bring the crayons and both she and Karissa will provide pictures to color.

1. Holiday Fair November 18th-Cheryl: This is being held at United Methodist Church/Inspiration Park located at 56870 Grand River Ave, New Hudson, 48165 from 10 AM-3 PM.  Cheryl and Maureen will man the club’s table to hand out Civitan/KVCC info. Since Theresa is unable to attend, someone needs to take her place.  
2. Giving on the Grand November 25th-Karissa: This will be held at the United Methodist Church/Inspiration Park located at 56870 Grand River Ave, New Hudson, 48165.  The pancake breakfast (donation) will start at 9 AM with the setting up of the holiday inflatables and lighting to follow.  Sue has the club’s two inflatables and will be on hand with helping to set them up. Additional members are needed to help.
3. Adopt-A-Family Planning/Shopping Date-Cheryl: Vivian contacted Active Faith today and they will have the kids names (5-6) by the 16th. Paige will pick up the names from Active Faith and organize the gift list for each kid. Members will meet at the Wixom Target on Sunday December 3rd at 9:30 AM (front of the store) to do the shopping.  Last year the budget was $600, and the actual spending was about $620.  Diana made a motion and Maureen seconded it,  to spend up to $650 ($100 per kid) out of the MP account.  Motion passed.
4. Festival of Trees at Abbey Park at Mill River-Cheryl: Members will meet on Sunday November 26th at 11 AM to decorate a tree. Cheryl has the ornaments and this year’s theme will be poinsettia’s. Diana and Carol will help, and any others are welcome to join in the decorating. The facility is located at Abbey Park at Mill River, 28413 Abbey Lane, NH, 48165.  The festival runs from November 26th to January 8th, 2024.
5. Club Christmas & Wrapping Party December 14th at 6PM: Diana volunteered to host the party at her house and to obtain a spiral ham (members will contribute towards the purchase of the ham. Members will bring a dish to pass and BYOB. She’ll set up Sign-up Genius  online.  Her address is 27965 Pontiac Trail, S. Lyon 48178.  She indicated that GPS doesn’t like her address, so try putting it in New Hudson instead. For the wrapping party, bring wrapping paper, tape, and scissors.  Theresa has already bought six large gift bags, 100 gift tags, and six festive tablecloths that she’ll give to Diana after the meeting.
6. Charity Poker 2024 Save the Dates: May 9th-12th, 2024, and June 20th-23rd, 2024. Also, Theresa indicated that the State of MI (SOM) issued new MP rules that took effect on October 23rd, 2023.  Elijah didn’t receive this email from the SOM.  She’ll forward the email to him, and Hal asked to be included.  Anyone else that wants a copy, contact Theresa.
7. Scholarship/Essay Contest 2024-Maureen: She put together a document that she passed around to members  concerning the 2024 scholarships. Committee members will include Paige, Paulina, Cheryl, and herself.  Anyone else that wants to join the committee is welcome to do so. Just let Maureen know. She’ll also send an email out to members  asking for interested members. Revisions to include: 1. Removing GPA from the application; 2. Revise volunteer activities to read: “List volunteer and/or school activities and highlight any leadership roles”; 3. Describe how your experience in a specific volunteer activity has impacted you personally or your future career goals.  Please be specific. Members liked the revisions.  Paige will revise the application to reflect the changes.  Maureen also put together a schedule of tentative dates for when the essays are announced (January 15th), due (March 15th), evaluated (April 1st-19th), winners given to the schools (May 20th) and award nights (June 5th-7th). She’ll check with the schools for the actual dates that the schools determine and then make revisions as needed.  Last year four scholarships were given out (two to each school) and the previous year only two were given out (one to each school).  Discussion was whether to continue this or not.  The MP account is healthy and would support four scholarships of $1,000 each. Members decided that the quality of the essay’s would determine how many scholarships would be handed out.

3. Treasurer’s Report-Diana: Diana went over the October financial report.  Karissa made a motion and Phil seconded it to accept the treasurer’s report.  Motion passed.
4. Correspondence-Theresa: The club received the Navigator pin for the banner for the 2021-2022 year. This is for the club’s contribution to Civitans at the Helm which goes to the Civitan International Research Center (CIRC).  This brought up the discussion as to who has the banner.  Sue Miesner might have it. (I contacted Sue, and she doesn’t have it).
5. Project Updates:
   1. Installation of 2023-2024 Club Officers Kris:  Kris installed Theresa as secretary, Diana as treasurer, Elijah as president-elect and Thad as president.
   2. Youth Entrepreneur Market/Participant Recognition-Maureen: Maureen mailed out the certificates and letters to this year’s participants with an invitation to participate in the 2024 YEM.
   3. Desert Angels-Karissa: Karissa stated the collection is going well.  Marta contacted Theresa and gave her a few more items that are needed.  Karissa will add these to the list.  Still in need of entertainment items.  Paige stated the two middle schools are in competition as to which school will collect the most items.  Theresa will send the video that Paige shared with her when she sends out the business meeting minutes.  Theresa stated she has the paper products (plates, napkins, and cups) for the packing party.  Maureen stated she’ll bring additional plates, napkins and cups that weren’t used at the Plymouth-Canton Civitan Club event yesterday.  Just a reminder that Karissa oversees the pizza, Cheryl & Hal the beverages and ice, and Theresa the cookies.
   4. Scarecrows on the Grand/Goodies on the Grand: Theresa: indicated that the club’s scarecrow is up at Inspiration Park.  On Sunday, Cheryl, Hal, Maureen, Toprak, Nazmiye, Tolga, and Theresa met at Karissa’s and Elijah’s house to assemble the military scarecrow representing Desert Angels Miracle Box. Everyone had a great time, especially Tolga who loved dancing with the scarecrow! There are pictures on Facebook.  Goodies on the Grand: This will be held on October 28th at Inspiration Park from 4:30-6:30 PM to hand out goodies to the kids. Thad indicated there are 400-500 LED rings left over from Pumpkinfest that could be handed out.  Members that have worked this in the past are going to Region 6 District convention that weekend.  The club will not participate this year, however, would like to participate in 2024.  Theresa will let Amy Allen know.
   5. 2023 Pumpkinfest Recap: Thad stated this was a record year as the committee had to resort to previous years tickets as they sold out for this year.  The club took in about 1,605 tickets, which is the best since we’ve been participating.
   6. Inspired Movement Project (Digital Play Scape)-Thad: Sue Toth the Special Ed. director is going to reach out to the principal at the Early Childhood Center to see if they’re interested in having the program.
   7. Focus Hope October 14th, 9 AM-Cheryl:  Join the Plymouth-Canton Civitan Club with food box building at Focus Hope located at 1400 Oakman Blvd. Detroit 48238.  Afterward members will go to lunch at Polonia’s.
   8. Holiday Fair November 18th-Cheryl: Cheryl, Maureen and Theresa will be attending and will have a table to hand out KVCC info.  This will be at the United Methodist Church located at 56870 Grand River Ave, New Hudson, 48165. Hours are 8 AM-4 PM according to the church’s website.
   9. Active Faith Christmas Adopt-a-Family (just added)-Theresa: Discussion was whether to adopt a family for Christmas.  Everyone was in agreement to do this.  Cheryl will have Vivian contact Active Faith to get a family or two for 5-five to six kids to buy for.
   10. Lunch at the Sr. Center for Active Adults (Just added)-Karissa:  Karissa asked whether the club wanted to sponsor another lunch at the center. Everyone agreed this was a good idea. Thad will check into this further.
   11. Abby Park  at Mill River-Festival of Trees (just added)-Cheryl: The discussion was whether to sponsor a tree this year.  Everyone is in agreement to participate.  Cheryl will check this out further.
   12. First Quarter Dues (just added)-Diana: Just a reminder that Diana will be sending out the dues notice to members.

m.Brighton Greater Chamber of Commerce (just added)-Elijah: Discussion was whether the club wanted to join since the Kensington Valley Chamber of Commerce folded in April of this year.  Karissa stated that this is a very active chamber with lots of events/activities that covers a wide area.  She’s not sure how much it costs for a non-profit to join. (I contacted the Greater Brighton Chamber of Commerce and spoke to Michelle Tokan, it will cost $200 for a non-profit to join and the year goes from the month of joining to the following year. Once the club joins, then all members can attend any activity/event.  Most are free, unless food is involved, then there will be a fee to attend. I told her we would probably decide sometime in November.)

5. Project Updates:
   1. Club Elections 2023-2024: Thad asked if anyone was willing to step forward to be the president elect.  Elijah stated he would do it. Cheryl made a motion that the slate of officers: Thad for president, Elijah for president elect, Diana for treasurer, and Theresa for secretary be elected.  Rich seconded the motion.  Motion passed.
   2. Party in Hell Recap: Cheryl and Hal hosted a great social event for the club. The top fisherman with seven catches was Toprak (Cheryl passed around a picture of Toprak with one of his catches). Thanks Cheryl & Hal !
   3. Charity Poker Future Dates-Elijah: Dates are set up for 2024: May 9th-12th, and June 20th-23rd.
   4. Youth Entrepreneur Market (YEM)/Participant Recognition-Elijah: Elijah indicated that there’s been around 31 participants this year.  Which is doubled from last year.  This is great, however, he questioned whether this is just his project or is it’s the club’s project.  Theresa indicated outside of herself with Elijah and Karissa, they’re the only members that stay all day with the market.  Thad, Rich, and Phil have come around at various times to help. Theresa stated she greets each vendor around startup time to answer any questions and to help them out with explaining their products.  And then shortly prior to closing she goes around to see how they’ve done , usually she asks how much they’ve made and whether they’re coming back next month. At the club’s table/booth questions are answered about the market, the club’s role and Civitan questions with handing out club info. Members indicated that they would like to continue sponsoring this project Elijah was unable to do any marketing of the event, other then the signs that are put up in front of the Biggby Store the day of the market.  He would like to see members step up and help with this.  The Farmer’s Market was mentioned about handing out flyers there. Numerous attempts have been made contacting the individual who’s in charge there, with no response what’s-so-ever. Thad indicated this may change if he’s elected to city council. A committee/team needs to be set up in January 2024 to coordinate the market with organization, marketing (flyers, cable tv) and then recognition of the participants.  This brought up the discussion of recognition of this year’s participants.  Karissa, Theresa, and Elijah had started this discussion back in August concerning a dinner with certificates being handed out.  However, they didn’t get this completed and it’s a bit late/short notice to try and pull something together by the September dinner meeting, especially with school back in session and the various school activities that are currently going on.  This is something that should be established at the start of YEM in May with letting the participants know with a save the date invite.  This is something the committee should handle.  This year’s participants should still be recognized with certificates of participation and letters of appreciation/thank-you.  This can also include the dates for the 2024 YEM market dates (starting in May, the 2nd Saturday of the month until September). It’ll mean much more to the participants if these can be mailed out via postal mail. Diana, Maureen, and Cheryl indicated that they’ll handle the certificates, and thank-you letters.  Elijah will give them the addresses of the participants, and if need be, Nazmiye can verify the addresses.   
   5. Desert Angels November 16th-Karissa: The Lyon TWP Municipal Center has been secured for the packing party. Donation boxes are being set up at the Biggby Stores (S. Lyon & New Hudson) along with one at the S. Lyon Senior Center.  It’s also being advertised in the Lyon TWP and S. Lyon Senior newsletters.  The donation list will be attached to the club meeting minutes and newsletter. Elijah indicated that the Regional B postal boxes which were the cheapest to send are no longer available.  All boxes will be sent to stations and no longer to individuals due to the difficulty of delivery. The large boxes are about 30% cheaper to send (about $19 per box) than the medium size boxes. It will cost about $3,500 to send 182 large size boxes which is an increase of about 40% in postage.  However, after discussion the MP account can still be used to pay for postage.  Marta will check with her son who’s in the military to see if there’s another way of sending the boxes. Cheryl   stated that Paulina is collecting paperback books through the Salem-S. Lyon District Library. She also mentioned that the Plymouth-Canton Civitan Club will be attending the packing party in lieu of their dinner meeting.  Lastly, Cheryl indicated that the club was also donating $500 to go towards the postage.  The check was given to Diana.  Elijah stated that to send 150 large size boxes it’ll cost about $2850 in postage. Elijah then made a motion that up to $3,000 out of the MP account be used to pay for postage of the Desert Angle/Miracle Boxes.  Diana seconded the motion.  Motion passed. Karissa indicated that she would put together an Amazon Wish List for donations.  Maureen will contact Paige about the local high schools having a collection drive at the schools. Food was discussed next.  Karissa will take care of ordering the pizza’s.  Karissa made a motion and Elijah seconded it, to spend no more than $300 from the general account to pay for the pizza’s. Motion passed. Theresa will  take care of the cookies, she’ll donate them.  Hal will take care of the beverages.  This time he’ll get the 2-liter bottles of pop along with cups.  He’ll donate the pop and cups. 
   6. Scarecrows on the Grand-Karissa & Theresa: Scarecrow can be set up from October 6th-11th and Scarecrows will be up from October 12th through the end of the month.  Scarecrows must be picked up by November 1st. The club’s scarecrow theme will be Desert Angels with the scarecrow holding a donation box.  Cheryl has the frame, Theresa & Maureen have the grocery bags for stuffing, Marta will check with her military son for clothing.  Will meet at 1 PM on October 8th at Karissa & Elijah’s house for scarecrow assembly.
   7. Pumpkinfest September 30th-October 1st-Thad: Club’s booth is located just east of The Lyon Theater on E. Lake St./10 Mile.  The booth set up is for the 30th from 8-10 AM.  Have about 1,000 stuffed animals for prizes and Thad has some left-over LED rings and he will order more.    8. Inspired Movement Project (Digital Play Space)-Thad: Thad and Hal had presented this as a benefit for individual’s with special needs.  It appears the school system intends to  use this for all students.  Thad wasn’t sure whether this was permissible under the CI grant guidelines and that members would want to move forward or not.  Members indicated that this shouldn’t be an issue with CI and Thad should move forward.  Thad will take the next step with Sue the Sp. Educ Director.
   9. MSU Fundraiser-Marta: Marta indicated that this is an easy way to raise $500-700 for the general account by working the concession stand at MSU sporting and non-sporting events (not football).  It only takes about 8 members (cashier, inventory, runners etc.) to run it.  Volunteers get access to free parking.  If the club would like to do this, she can set it up with her contact person at MSU.
   10. Region 6 District Convention October 27th-29th-Marta: This will be held at The Drury Inn in Lafayette, IN.  Breakfast is included with hotel room as well as “kick-back” from 5:30 to 7 PM, which includes three drinks and food.  Registration is $50  and $50 for food.  Room rate is $150 but must register by September 27th to get this rate.  Doug Szczepanski-“Miracle Soldier” will be this year’s special speaker and CI president Dee Hutsler will also be in attendance.
   11. Pontiac Trail Rd. Cleanup September 23rd: Meet at the New Hudson Biggby Store on Milford Rd. at 10 AM.
   12. Focus Hope October 14th: Join the Plymouth-Canton Civitan Club with food box building at 9 AM down at Focus Hope located at 1400 Oakman Blvd. in Detroit, 48238.  Afterwards the group will go out for lunch.
   13. 2. Approval of the July 13th, 2023 Minutes: Rich made a motion and Phil seconded it to approve the July minutes.  Motion passed.
3. Treasurer’s Report-Theresa: Theresa presented Diana’s August report. While the erroneous charge of $59 was taken off the MP account on 07/20/23, Community Choice Credit Union (CCCU) put it back on July 27, 2023.  This is the second time they’ve done this.  Phil will make another trip to CCCU to get this straightened out.  Karissa made a motion and Rich seconded it to approve the financial statement. Motion passed.
4. Correspondence: Thad gave Theresa the bylaw changes that Civitan International sent him that will be voted on at the convention later this month.  She’ll share the info with Cheryl and Hal who also are voting delegates for the club.
5. Project Updates:
   1. Club Elections 2023-2024: Thad has spoken to Nazmiye about filling the president-elect position.  She’s considering it. He’ll speak to her again about it.  Club officers must be turned into Civitan International by September 30th, 2023 according to Theresa.
   2. Civitan International Convention August 17th-20th:  Cheryl, Hal, and Theresa are attending and will be the club’s voting delegates.
   3. CIRC (Civitan International Research Center) Rock & Roll Walk Donation-Theresa: Cheryl and Hal will be participating in the walk and have donated in the club’s name. They would like for the club to make a donation.  All donations go to the research center.  Kris made a motion and Rich seconded it that the club make a donation to come out of the MP account for the Rock & Roll Walk/CIRC.  Motion passed.
   4. Charity Poker/State of MI (SOM) Audit-Elijah: Elijah prepared an excellent summary sheet addressing what the auditor found.  In essence the audit was done because the treasurer signed off on the Financial Statement summary page under Principal Officer instead of the club president as required.  This flagged the club for an audit. Basically, the club was given a verbal warning for this and other minor infractions.  Elijah indicated that the chairperson needs to be the same as submitted on the application to the SOM.  In addition, the final money counted/paperwork on site must also match the deposit exactly.  This is the opposite of what Krazy Kopz has always told the club. The club’s license to hold events is not in jeopardy. Tips also must be deposited into the MP account.  Elijah did an excellent job of explaining what the issues were and how to correct them, so they don’t happen again.
   5. Youth Entrepreneur Market (YEM)-August 12th and Participation Recognition-Elijah: He has 14 confirmed for this Saturday and 5 additional possibilities.  Thad did a Facebook boost for the event.  Set up time is for 9 AM.  There should be a Participant Recognition for all the vendors sometime in September.  The discussion was whether to have a pizza party in the park, or go to Aubree’s or S. Lyon Hotel , as they both have private rooms available.  The S. Lyon Hotel would be better as their room is larger. The dinner meeting date of September 28th was decided upon.  The discussion was about who to invite youth vendors, siblings, parents, and club members.  There was also discussion of a few of the local businesses in the area that have contacted Karissa and Elijah about giving some sort of monetary/gift recognition to the youth participants.  Members discussed gift cards rather than monetary gifts. Also, certificates like were given out last year were also discussed. Thad will contact the hotel concerning the availability of the room and what type of items would be served and the cost factor.  He’ll have this info by the time of the Youth Market event on Saturday the 13th.  A committee is needed to make the final arrangements this Saturday.  They will meet at the Youth Market from 10-11 AM for further  discussion.  Karissa made a motion and Kris seconded it, that the club would throw a participation recognition party of the YEM participants at a venue to be determined and the club would pay for all the food to come out of the general account.  Motion passed.
   6. Music on the Grand Recap-Karissa:  Karissa stated Paulina, Carol, Thad, Tolga, Toprak, and she were in attendance.  Nazmiye did a fantastic job with the face painting and was still painting faces 30 minutes after the event ended.  The food truck was good with the deep-fried pickles being outstanding.  Attendance was okay, probably won’t have reggae music next year.
   7. Desert Angels Packing Party November 16th-Karissa & Elijah:  Cheryl has contacted Carrie to put a notice in the Sr’s. Newsletter about the event and items that are needed.  Elijah is trying to figure the size of the box to use as the USPS has done away with the box size that was previously used.  This also changes the amount paid to mail the boxes (increase in price).  The discussion was whether to limit the number of boxes to be mailed regardless of if there are left over items or not.  Any left-over items can be saved for the next packing party or can be donated to Louise who holds packing parties more frequently. Last time about 232 boxes were mailed. Until Elijah has crunched the numbers on the size of the boxes and the expense involved in mailing them, a motion is not needed at this time the amount to be used out of the MP account for this.  The  discussion was to limit the boxes to 175. Elijah will figure this out and report back at the next business meeting. Karissa indicated that they would like Christmas items, such as Christmas cards for the service personnel to send home, Christmas wrapping paper, tape, candy canes, Christmas candy (hard) and small stockings stuffed with items.  This might be a little hard as the packing party is on November 16th and may not arrive in time for these items to be used and mailed back home from the service personnel.  Since November 16th falls on the Plymouth-Canton Civitan Club’s dinner meeting, they’ve decided to forgo their dinner meeting and come to the packing party instead.   
   8. Pumpkinfest September 30th-October 1st: Set up will be on Saturday morning prior to parade (if there’s one).  Cheryl has put the word out on Facebook for stuffed animals.  Just today Kris and Theresa have picked up bags of animals in the S. Lyon area.  Thad will be ordering LED rings.  He’ll work on a Signup Genius for the two-day event. 
   9. Inspired Movement Project (Digital Play Space): Thad has a 2 PM meeting set up with the Special Ed Director-Sue and a couple of school principals for Fri August 11th.  Hal will be in attendance with Thad, for Thad’s presentation.  The club will bear all costs for the equipment, and the monthly service for the program.  Installation(Lyon Mechanical)  costs are to be determined yet. There’s a lot to work out, such as the ownership of the equipment (the club), maintenance (the club) and some sort of follow-up as to how the program is working, if it’s being used, and whether it will continue to be used by the school or removed.
   10. Social Outing Hell, MI.-August 27th-Theresa: Arrival time is Noon, Cheryl and Hall will provide the burgers/brats, condiments, and non-alcoholic beverages.  Members are asked to bring a dish to pass and alcoholic beverages if wanted. 5. Project Updates:
   1. Club Elections 2023-2024: Thad stated he would continue in the president role, Diana as treasurer, and Theresa as secretary. Still need a president elect. Thad will reach out to a few members to see if they will fill the position. Must hold election within the next two months. Theresa believes that the deadline to report club officers to Civitan International (CI) is October 1st, 2023.
   2. Civitan International Convention Indianapolis, August 17th-20th, at the Hyatt Regency, room rate of $149 per night. The deadline for room reservations is July 14th. Further info can be found at www.civitan.org/convention. Cheryl, Hal, and Theresa have been registered as the club’s voting delegates. Theresa did obtain clarification from CI that voting delegates can only represent one club. There is no issue with overlapping delegates with the Plymouth-Canton Club as they do not get any voting delegates as the club is not in good standing currently.
   3. Camp Civitan-Cheryl: There were 58 campers, she thanked everyone that helped as counselors and came out during the day. She acknowledged Karissa’s dad and stepmother who came out for a day. Thad led the members in a round of applause acknowledging all of Cheryl’s hard work in putting on the camp. All the MI Lottery tickets have been sold according to Julie. Newest member Carol sold almost half of them. Great job Julie and Carol! The lottery will be held in September, good luck all!
   4. Charity Poker/State of MI (SOM) Audit-Elijah:  This is schedule for next week. This is the first time the club has had an audit and it’s a learning experience as to what records/documentation the club needs to keep. On June 21st, the SOM requested: validated bank deposit slips/receipts, bank statements, cancelled checks, and all invoices/receipts from December 2022 to June 2023 from the MP account. Elijah is confident that the meeting will go well. There’s still the issue of the erroneous charge on Phil’s debit card from the MP account with Community Choice Credit Union. Phil will check tomorrow with Community Choice tomorrow and try to get this straightened out .  It’s believed that the charge was $59 or so.
   5. The Youth Entrepreneur Market was on July 8th, the next one is August 12th from 10 AM to 3 PM. Members are needed to help set up and tear down the club’s tent around 9 AM. Wear your club tee shirt and name badge. For the July market there were about eight youth vendors and did pretty good despite the rain. Three backed out due to the rain. In August there’s supposed to be about 15 vendors. Social media boosts will be done prior to the next event. September is the last market, and the club needs to acknowledge/celebrate all the youth that participated this year.
   6. Music on the Grand July 19th at Inspiration Park-Karissa: Toppermost Beatles Tribute from 6-8 PM. The club will be running the children’s crafts. Set up is at 5 PM and assisting with children’s crafts. Wear your club tee shirt and name badge. The food truck will be BBQ. Cheryl has a windsock for the kids to make and will bring a couple of carnival games (used at Camp Civitan) for participants to play with prizes to be awarded. Karissa stated this is volunteer appreciation night and all volunteers will receive free food. Bryan Gutierrez’s group “The Social Crew” is adopting KVCC, and the club may receive some donations in addition to recognition that night. A box for Desert Angels was discussed also for the night.
   7. Pumpkinfest September 30th-October 1st: Cheryl indicated that stuff animals are needed, and the collection should be started. Also, Thad has some LED prizes left over, but more should be ordered now and not wait until Pumpkinfest.
   8. Inspired Movement Project (Digital Play Space)-Thad: He has reached out again to the Special Ed Director Sue, who now has contacted the school district’s IT person to set up a meeting. Paige never received any response from the Milford school district. Thad will reach out to the Early Childhood Center again.
   9. Fourth Quarter Dues-Theresa:  Diana asked Theresa to remind everyone that dues are now due. Diana will be sending out reminders shortly to members who still need to pay.
   10. Desert Angels Packing Party-November 16th-Cheryl: Need to start getting the flyers out and start collecting the items. Karissa will confirm with the Lyon Twp about November 16th. Cheryl is putting a notice in the Senior’s newsletter asking for donations. Elijah stated the postal boxes that have been used in the past are no longer available. Will have to use the medium size Priority boxes which will cost more. So, may not do as many boxes.
   11. Retreat in Hell-Cheryl: Cheryl invited the members out to Hell, MI. She and Hal will provide the meat to grill, nonalcoholic beverages, and everyone will bring a dish to pass and alcoholic beverages if they want. It was decided to go to Hell on Sunday August 27th.
   12. Wine for Humanity-Karissa:  This is a wine tasting party at her place on August 23rd at 6 PM and any wine purchased will have the proceeds donated to KVCC.

Treasure’s Report-Diana:  Diana went over the general and MP accounts.  In the general account there was an unsolicited charge of $89.99 on May 15th to Tumblerbul in OK.  This was made using Diana’s club debit card.  This is not a charge that any member made.  She’ll contact Community Choice Credit Union (CCCU) concerning this charge.  Also, the charge in the MP account that was made on April 23rd was removed on May 17th, however, it was reinstated by CCCU on May 25th.  Since this debit on Phil’s card, he must call them and get it straightened out. Rich made a motion and Julie seconded it to approve the treasurer’s report.  Motion passed.

5. Project Updates:
   1. Club Elections-Theresa:  Still need a member to step into the  president-elect position as the slate of officers need to be turned into Civitan International (CI).  Also, Theresa explained that all club officers must complete the officer training so the club can be ‘in good standing’.  This affects the club’s voting delegate privileges if this isn’t done.  Actual elections were tabled until the July meeting.
   2. Civitan International Convention/Voting Delegates: In Indianapolis, August 17th-20th, at the Hyatt Regency room rate of $149 per night. Deadline is July 14th.  Further info can be found on at www.civitan.org/convention.   The club has three voting delegates.  Cheryl, Hal, Marta, and Theresa are going. Theresa indicated that the Plymouth-Canton club also gets three votes, and she’s not sure if Cheryl, Hal, and herself can be voting delegates for both clubs, and how that’s going to work. (CI has been contacted for resolution and awaiting response.) Members felt at this time they would like Cheryl, Hal, and Theresa to be the designated voting delegates for the club as they have been with the club since the beginning and use Marta as an alternative depending upon the response from CI.
   3. YLDC: Has been cancelled due to lack of participants.
   4. Camp Civitan: Currently going on.  Julie indicated that she still has 10 MI lottery tickets to sell.  These were all sold at the end of the meeting.  Carol still has some tickets yet.
   5. KVCC Scholarship/Essay Recap: Paige did a fantastic job of representing the club and handing out the certificates and checks to the recipients.  Paulina took fantastic pictures of the ceremony and can be viewed on Facebook. Thanks, ladies, for doing this on behalf of the club.
   6. Charity Poker Recap/June 15th-18th: Club made a nice profit from the May event.  Elijah has sent out the link to sign up for the upcoming event next week.    7. Youth Entrepreneur Market Sat June 10th (10 AM-3 PM)-Elijah:  There are nine vendors participating.  He has the tent and needs help in setting it up around 9 AM and the table. Anyone planning to help with setting up and tearing down, wear your club shirt and name badge.  Thad did a Facebook boost during the meeting using Theresa’s club debit card for about $10. Bring your own chair. Next event is July 8th.
   8. Music on the Grand Wed June 21st-Karrisa: The music is Wag the Dog, Top 40’s, and the food truck will be Chinese: Fortune Cookie from Milford. The concerts are from 6 until 8 PM.  Set up of the tent, crafts and table needs to start around 5 PM.  Help is also needed with the face painting and assisting the kids with the crafts.  Wear your club shirt and name badge if helping. Next concerts the club will be doing the kids crafts are July 19th (Toppermost Beatles Tribute), BBQ Food Truck and August 2nd (One Love Reggae Band), Bavarian Inn Cluck Truck. Bring your own chair.
   9. Focus Hope May Recap & October 14th: Diana stated she, her son Wyatt and his girlfriend attended.  For the first part there were two additional groups, U of D Jesuit High School and a fraternity that participated. Afterwards the group went to Polonia’s for lunch, they did not attend.

   12. Inspired Movement Project (Digital Play Space)-Thad:  He’s been in contact with Carrie Cavanaugh who directed him to the Early Childhood Center (part of the school district but not overseen by the school district). The Early Childhood Center has expressed an interest in the digital play space, and he will meet with the representative from there soon. Thad hasn’t had any additional contact with Sue the Special Education Director for S. Lyon. Paige indicated that after the schools close for the summer, staff are usually still there for about one month afterwards.  It was suggested that another attempt be made.  Paige has reached out to the Milford School District and hasn’t heard back.  She’ll make another attempt.

April Minutes: There are two meeting minutes to approve.  The business minutes of April 13th and the dinner meeting minutes of April 27th in which members voted on adding two additional scholarships for the community high schoolers.  Phil made a motion and Hal seconded it to approve the business meeting minutes of April 13th.  Motion passed.  Phil made a motion and Julie seconded it to approve the dinner meeting minutes of April 27th.  Motion passed.
3. Treasurer’s Report-Theresa: Theresa went over Diana’s May financial statement for the general and MP accounts.  There’s an issue with a $59 debit charge to the MP account made on 04/06/23 for KEXPERINITSCHEXIM PORTLAND ME. It was Phil’s debit card that was used , however, none of the members that are on this account used it.  Elijah suggested that Diana go back a year in the records as to whether this type of charge had occurred in the past.  It’s unlikely that it has.  She’ll have to call Community Choice Credit Union about this charge and then cancel Phil’s debit card.  A new card needs to be requested and the discussion was that it should be to Karissa instead of Phil, as Phil hasn’t used the card in over a year and Elijah and Karissa have taken over the handling of the Charity Poker events.  Phil made a motion and Maureen seconded it to accept the treasurer’s report.  Motion passed.
4. Camp Civitan MI Lottery Tickets: Cheryl has obtained additional tickets from the Livingston and Plymouth-Canton Civitan Clubs to sell and gave them to Julie.  Carol has sold 60 tickets so far.  Great job Carol!
5. Project Updates:
   1. Region 6 District Meeting Recap:  Hal, Cheryl and Theresa indicated that JoAnn O’Toole the Civitan International President was a key speaker. The awards criteria have been revised and the Supply House has been outsourced to an independent company. A total of 17 clubs were in attendance. Region 6 District now consists of the states from IA, IN, MI, MN, WI, (the old North Central District) and the western portions of KY, and TN. The new Region 6 District will hold a convention sometime in October.  Marta Ford is working out the details.
   2. Adopt-A-Highway Recap:  A total of 11 trash bags were filled.  With lots of alcoholic beverage bottles.
   3. Brain Tumor Association Recap: None, no one attended.
   4. Civitan International Convention: In Indianapolis, August 17th-20th, at the Hyatt Regency room rate of $149 (plus tax and fee) per night.  No virtual attendance this year. Further info can be found on page 16 of the February Civitan Magazine or at: www.civitan.org/convention. Cheryl, Hal, Marta, and Theresa will be attending. There will be several revisions to the bylaws that will be voted on.  One is to whether allow all members attending the CI convention to vote or remain with only voting delegates from the clubs to continue to vote.  CI is still working on the items to be voted on. The number of voting delegates depends on the membership number of the club.  Currently Theresa thinks the club has three voting delegates. CI will be sending Thad the number of voting delegates the club has, and he must turn in the names by June 15th, 2023.  Theresa indicated that Marta would be willing to be one of the club’s voting delegates.  
   5. Youth Leadership & Diversity Conference (YLDC) July 24th-29th-Kris: This is to be held July 24th-29th at the Trine University in Angola, IN.  This is the 51st year the conference has been held. The cost is $375.  The club decided in April to send two delegates with the club paying $190, and the delegates will pay the rest-$185.  If delegates are unable to afford their portion of the fee, then they could volunteer at a club event and the money should come out of the MP account.  Paige has contacted  the two high schools in getting participants but has not heard back from the counselors.  She knows of two individuals that would benefit in attending YLDC.  After discussion , Paige will contact these two individuals directly about attending.  Previously Diana indicated that she wanted her son Wyatt to also attend.  Based upon a potential of the club sponsoring three high schoolers, Cheryl made a motion and Maureen seconded it to revise the club sponsoring three delegates to attend with the club paying $190 from the MP account and the remaining $185 be paid by the delegates. In the event the delegate is unable to pay their share the club would pay it and they would need to volunteer at one of the club’s events.  Motion passed.
   6. Camp Civitan June 8th-11th- Cheryl:   Camp Mishawaka located at 6475 Wilkins Rd., Hastings, MI. 49058. Cheryl has 59 campers.  Need extra workers for check-in on Thursday and on Friday to help with Carnival games. Collecting prizes (such as bubbles, hats, crayons, coloring books etc.) for Bingo and the Carnival games. She has found another RN to help.  Camp costs $215 per camper and Cheryl has six scholarships. If you’re able to help during the day, contact Cheryl at 313-460-3194, she can really use the extra help. This is the camp’s 32nd year. 
   7. KVCC Scholarship-Maureen: Four awards will be given out, two to each high school.  Nick Bentley and Colette Maurer of S. Lyon East High School will receive theirs on June 6th and Elaina Cook and Katherine Wesner of S. Lyon High School will receive theirs on June 7th. Paige will be handing out the certificates and checks to the winners and Paulina will be taking the pictures.  Maureen will send out letters to the unsuccessful candidates.
   8. Charity Poker May 11th-14th-Elijah:  Tonight, is the first night. This is being held at Vision Lanes located at 38250 Ford Rd., in Westland, 48185.  Thursday and Friday hours are 6:30 PM-2AM and Saturday/Sunday hours are 10 AM-6 PM.  Have four members working each shift. Karissa will hand off Thurs funds to Phil.  Phil is working Friday and Saturday, so, he’ll hand off the funds to Diana on Sunday. He’ll also co-sign the MP checks for Krazy Kopz and Vision Lanes, and Diana will complete the checks on Sunday and make the final deposits. Just a reminder that there’s a lot of construction so, leave a little early to get to Vision Lanes before the event starts, especially if you’ve never worked it before.  Remember to wear your club tee shirts and name badges.  The next event is June 15th-18th.  Elijah will set up the sign-up Genius for this event.  It was discussed as to whether members would like to do a third or fourth Charity Poker if they become available.  Members thought doing three events would be good.  Elijah will contact Mike and request a third event if possible.
   9. Youth Entrepreneur Market (YEM) May 13th-Elijah: The first event will take place on Saturday May 13th from 10 AM-3 PM.  Set up will start shortly after 9 AM.  Elijah has at least nine  youths signed up, three of these are returning.  The council did approve the event for the summer.  He’s asking for members to post this event on social media etc. He’s contacting Nate at the Farmer’s Market about advertising the YEM there.  Kathy Swan, the chair of Pumpkinfest will be allowing YEM to sell next to the ticket booth during Pumpkinfest. The owner of the Up Cycle Boutique is looking to feature the YEM youths in her store which is next to Jonah’s in New Hudson.  Elijah stated there’ll be a baby goat in attendance.  Products will include soap, dog treats, Brie will be back selling her paintings.  Thad and Theresa will be there along with Elijah. Bring your own chair. Phil mentioned that council woman Lisa Dilg gave a shout out to the club at the end of the council meeting expressing appreciation for the Pontiac Trail Rd. cleanup and sponsoring YEM. Cheryl has instructed us to take lots of pictures of the vendors.
   10. Club Management Software-Thad: Thad explained that this software could be beneficial to the club as it grows.  It would streamline lots of procedures for the club such as automatically sending out dues notice to members and giving the link to pay them.  Could have the resource of contacting members and individuals as to their interests, once they’ve been categorized into groups. It could handle event registration, operate a store, and sell items.  It could manage a variety of features and once it’s been set up, it would be very easy to manage.  The cost would run about $60-75 per month and about $800-900 per year and would be based upon the numbers of individuals receiving the emails, etc. The discussion was that this might be more for a top-level group, such as CI, rather than a club the size of KVCC.  It might be useful when KVCC is a bigger club. This would be  a large financial undertaking for the club.  This might be something to think about more in the future.
   11. U of M Concessions-Theresa: Marta had discussed this at the dinner meeting on April 27th. Marta indicated that her previous club used to make about $900 by working the concession stands at various events (not football). U of M has contacted her, and she wants to know if KVCC would like to do this. KVCC would pick an event and it would take 5-10 individuals to run the concession stand for about 5 hours. It’s a process of keeping inventory, bagging the food (hot dogs, popcorn, etc.), running it up to the cashier, and cashiers. The discussion was that with Charity Poker, the club can make more of a profit  then running a concession stand. If Marta attends the May dinner meeting, she can explain further how this works.
   12. Music on the Grand-Elijah: The first date is June 21st which is also Volunteer Appreciation Night.  The music will be Wag the Dog.  The club will do children’s crafts and Nazmiye will do face painting. She’s been practicing! There’ll be food trucks on site.  Members need to show up around 5 PM to set up the tent and organize the crafts.  This will be held at Inspiration Park in front of the United Methodist Church located at 56870 Grand River Ave, New Hudson 48165.  July 19th and August 2nd are the other dates the club will run the crafts for children.  The series runs from June 7th-August 16th  and they’re in need of volunteers. 
   13. Focus Hope: May 20th-Theresa:  The Plymouth-Canton Civitan Club has invited KVCC to participate with building food boxes of lower-income families and senior citizens.   Meet at the Costco parking lot (Middle Belt Rd. and I-96 service drive) by 8:30 AM to carpool to Focus Hope.  You can also meet down at Focus Hope by 9 AM located at: 1400 Oakman Blvd. Detroit 48238.  Parking is directly across the street within the gated black fence.  Lot entrance is on LaSalle Blvd. There’ll be another food box build scheduled for October 14th. Afterward there’ll be lunch at Polonia’s.
   14. Pumpkinfest September 30th-October 1st-Theresa: Application has been submitted, awaiting notification of location.  Requested on Lake St. near the theater.  The set up is scheduled for Saturday morning 7-9 AM. with booth opening at 10 AM and scheduled to run until 7 PM.  Sunday hours are 11-6 PM.  We’ll have the Duck Pond game again.
   15. Desert Angels Packing Party-Nov 16th-Elijah:  Start collecting items, especially if you’re traveling, don’t forget to pick up the hygiene items from hotels.  About two months prior to the event collection boxes will be placed at the New Hudson and S. Lyon Biggby Stores.  
   16. Inspired Movement-Thad: He’s reached another roadblock with the S. Lyon Special Education Director-Sue as she now wants a summer demonstration of the project.  Which doesn’t allow the club to met the completion project date of July 1st, which was an extension of original  April 1st deadline.  Thad was wondering if the Hope Center in Adrian could be a backup plan.  Members felt that it should stay within the S. Lyon community if possible.  Paige has contacts in the Milford Schools and will put Thad in contact with them to see  if can be installed in one of their schools. The club really needs to present the project and get a commitment from a school. There was discussion of the paperwork that needs to be submitted to CI.  Theresa’s not sure what all is involved in the completion of the forms. Will wait to see if Scarlet Thomas the EVP of CI will need to be recontacted.

Cheryl called the meeting to order at 6:40 PM.  Cheryl ran the meeting until Thad was able to run the meeting after setting up the equipment to show a demo of the Inspired Movement program.

2. March Minutes: Phil made a motion and Hal seconded it to accept the March minutes.  Motion passed.
3. Treasurer’s Report-Diana: Diana went over the financial statement for the general and MP accounts.  She also went over the accounts for money spent (so far) on the Inspired Movement project and money yet to be spent on the Youth Entrepreneur Market (YEM).  At previous business meetings motions had been made to spend funds.  This allows her to keep track of how much and what has been spent so far.  Members thought this was a very good idea and appreciate Diana’s efforts in this endeavor.  Rich made a motion and Phil seconded it to accept the treasurer’s report.  Motion passed.
4. Correspondence: Elijah read a letter from the past president of Civitan International (CI) Dan Brown (2021-2022) thanking the club for all the work it has done.  Elijah next read another letter from Dan Brown awarding Kris his 45th year pin as a Civitan .  Theresa also welcomed Carol Sienko as the newest club member.
5. Project Updates:
   1. Region 6 District North Central Meeting April 28th-29th-Cheryl:To be held at the Hampton Inn and Suites in Benton Harbor, MI.  The MI area clubs will be gathering along with the Iowa and Minnesota clubs for an update from Patti Belote the Region 6 District Director. Cheryl, Hal, and Theresa will be attending.
   2. Civitan International Convention-Cheryl: In  Indianapolis, August 17th-20th, at the Hyatt Regency room rate of $149 (plus tax and fee) per night.  No virtual attendance this year. Further info can be found on page 16 of the February Civitan Magazine or at: www.civitan.org/convention. Cheryl, Hal, and Theresa will be attending.
   3. Youth Leadership & Diversity Conference (YLDC) July 24th-29th-Kris: This is to be held July 24th-29th at the Trine University in Angola, IN.  This is the 51st year the conference has been held. The cost is $375.  The Plymouth-Canton Civitan Club pays  $190, and the delegates will pay the rest-$185.  Paige will contact the two high schools in getting participants.  Elijah made a motion and Kris seconded it that the club will sponsor up to two delegates and cover $190 from the general account. Discussion concerned the club covering all the costs for the delegates to attend.  It was further discussed that if delegates have some responsibility in payment, then they get more out of the conference.  Further discussion if delegates are unable to afford their portion of the fee, then they could volunteer at a club event and the money should come out of the MP account. Elijah modified/amended his motion and Kris seconded it, that the club would sponsor up to two delegates with the club paying $190 from the MP account and the delegates paying the remaining $185.  If a delegate is unable to pay the $185, then the club would pay the remainder $185, and the delegate would volunteer at a club event.  Motion passed.
   4. Camp Civitan June 8th-11th- Cheryl:   Camp Mishawaka located at 6475 Wilkins Rd., Hastings, MI. 49058. Cheryl has 38 campers so far, with a few new campers.  Need extra workers for check-in on Thursday and on Friday to help with Carnival games. Collecting prizes (such as bubbles, hats, crayons, coloring books etc.) for Bingo and the Carnival games. In need of a RN and counselors, especially males.  Camp costs $215 per camper and Cheryl has six scholarships. If you’re able to help during the day, contact Cheryl at 313-460-3194, she can really use the extra help. This is the camp’s 32nd year. 
   5. KVCC Scholarship-Maureen: So far, they have six applicants, four from S. Lyon HS and two from S. Lyon East HS.  Serving on the committee with Maureen are Paige, Paulina, and Cheryl.  They’ll start reading the essays after April 19th and select a winner from each high school.  They’re looking at all students regardless of their GPA or whether they’re bound for college or vocational school after high school.
   6. Charity Poker May 11th-14th-Elijah: This will be held at Vision Lanes located at 38250 Ford Rd., in Westland, 48185.  Thursday and Friday hours are 6:30 PM-2AM and Saturday/Sunday hours are 10 AM-6 PM. No knowledge of poker is needed, the club just handles the record keeping, poker chips and money.  It’s a lot of hours over four days, however, the profit the club receives benefits the community by the club’s charitable donations.  Consider volunteering and do not rely upon the six-eight members that have shouldered the working of this event in the past. Elijah will set up the Signup Genius app for members to work shifts.  Looking for four to five members per day.
   7. Youth Entrepreneur Market (YEM) May 13th-Elijah: The first event will take place on Saturday May 13th from 10 AM-3 PM.  Set up will start at 9 AM.  So far, Elijah has 5-6 youths signed up.  He has submitted the paperwork to the city and is in the process of obtaining the banner and flyers.  He needs help with the flyers  and posting them around.  Also, he’s asking for members to post this event on social media etc. He’s contacting Nate at the Farmer’s Market about advertising the YEM there.  Karissa mentioned that Amy of the DDA is looking to help the youths with funding and that the owner of the Up Cycle Boutique is looking to feature the YEM youths in her shop.
   8. Tent Hal & Cheryl: A demo was given of the club’s new tent with the club’s name and Civitan info on it.  There was a slight discrepancy as to the date the club was founded, it showed 1972 which is the date the Plymouth-Canton Civitan Club was founded instead of 2017 when KVCC was founded.  Hal offered to pay for the correction.  Thad made a motion and Rich seconded it to accept the tent with the 1972 date and make no correction as this lettering with the 1972 date is near the bottom and likely won’t be seen by the public.  Motion passed.
   9. Music on the Grand-Karissa: The first date is June 21st which is also Volunteer Appreciation Night.  The music will be a Beatles Tribute.  The club will do children’s crafts and Nazmiye will do face painting. There’ll be food trucks on site.  Members need to show up around 5 PM to set up the tent and organize the crafts.  This will be held at Inspiration Park in front of the United Methodist Church located at 56870 Grand River Ave, New Hudson 48165.  July 19th and August 2nd are the other dates the club will run the crafts for children.  The series runs from June 7th-August 16th  and they’re in need of volunteers.  Here’s the link to volunteer:

Focus Hope: May 20th-Theresa:  The Plymouth-Canton Civitan Club has invited KVCC to participate with building food boxes of lower-income families and senior citizens.   Meet at the Costco parking lot (Middle Belt Rd. and I-96 service drive) by 8:30 AM to carpool to Focus Hope.  You can also meet down at Focus Hope by 9 AM located at: 1400 Oakman Blvd. Detroit 48238.  Parking is directly across the street within the gated black fence.  Lot entrance is on LaSalle Blvd. There’ll be another food box build scheduled for October 14th. Afterward there’ll be lunch at Polonia’s.
2. Pumpkinfest September 30th-October 1st-Theresa: Application has been submitted, awaiting notification of location.  Requested on Lake St. near the theater.  Set up is scheduled for Saturday morning 7-9 AM. with booth opening at 10 AM and scheduled to run until 7 PM.  Sunday hours are 11-6 PM.  We’ll have the Duck Pond game again. Karissa stated that S. Lyon Live is hosting the event and can be found on Facebook.   
3. Pontiac Trail Rd. Cleanup April 22nd-Diana:  Meet at the New Hudson Biggby at 10 AM.  Elijah has vests and grabbers.  Need more trash bags.  Diana will contact Sue to see if she’ll be back and pick up the trash bags.  Next cleanup date is scheduled for September 23rd.
4. Desert Angels Packing Party-Karissa: Still scheduled for November 16th. The newest member Carol has already started collecting items.
5. Inspired Movement Demo-Thad: Gave a demo of how it works with promoting physical activity. Thad will be meeting with Sue the Special Ed Director and giving her a demo within the next couple of weeks. (Demo was given after the meeting was adjourned at 8:05 PM.)
6. Volunteer Opportunities-Karissa: Music on the Grand is looking for volunteers to work on the series.  See 5i for link.  Karissa is setting up a donation box at the New Hudson Biggby location for Chuck Waggin Pet Food Pantry  collection of pet food and treats for cats and dogs.  Collection goes through May 15th.
7. American Brain Tumor Association BT5K (just added by Cheryl): Larry Berg who spoke at the March business meeting is looking for volunteers to work the run/walk.  It’ll be at the Kensington Metro park located at 4570 Huron River Parkway in Milford from 6 AM to Noon. Theresa made a motion  and Rich seconded that the club be a sponsor by donating  to the BT5k.  Motion passed.  By being a sponsor, the club will get an In-person Morning Program Mention, an Event Tent, and two complimentary BT5K registrations.  The tent and registrations will be discussed further at the April dinner meeting.

4. Correspondence-Theresa: Theresa passed out the Civitan Region District 6 North Central area spring meeting for April 28th-29th  at the Hampton Inn and Suites in Benton Harbor MI. packet. Friday night is fun and fellowship. List of items needed was included for the Homeless in Lenawee Co. as the service project. Meeting will be held on Saturday and concluding at 2 PM.  Registration is $35 and covers the lunch costs for Saturday.  Room rates are $99 (plus taxes). Must reserve a room by March 30th and use Region 6 Civitan to get this rate.  Make reservations directly with the hotel (269-927-5878).
5. Presentation: Larry Berg of the American Brain Tumor Association (ABTA): Larry is the current chair of the MI chapter. Over 700,000 individuals a year are affected by brain tumors. 89,000 will be diagnosed with a brain tumor this year.  Glioblastoma is the number one tumor that affects kids.  ABTA was founded in 1973 and is dedicated to brain tumor education, support, and research.  ABTA provides educational and support resources (care line support for caregivers).  Larry became involved with ABTA in 2013 when is daughter was diagnosed with a brain tumor.  He chartered a race in MI in 2013 to raise funding and awareness.  Since 2013 over one million has been raised. The Breakthrough for Brain Tumors race: BT5K  is a 5k run and walk that’s being held this May 6th, 2023 at 8 AM at the Kensington Metro park in Milford. They need participants, donations, and volunteers to help with registration, hand out the shirts/bibs, traffic control and help with the refreshments.  The goal is to raise $250,000. Last year they raised $200,000. To volunteer contact Larry at:  [email protected],  and he’ll send you the link. Larry handed out the flyer for the BT5K run and a sponsorship form contract.
6. Project Updates:
   1. 2023-2024 KVCC Officer Elections: Still looking for a president-elect. So far, Thad is president, Diana Treasurer and Theresa-Secretary. Vivian nominated Phil for president-elect. He declined. If no-one steps forward for the president-elect position, Thad stated he would also serve as President-elect. Election will be held in April.
   2. North Central Meeting April 28th-29th: See item 4 above.
   3. Civitan Website-Thad: Thad explained that Civitan International CI wants to help clubs with their websites, which would take the control out of the club’s hands. This has to do with branding with the Civitan name and logo. It would take CI 5-10 business days to post on the club’s website.  After discussion, Phil made a motion and Hal seconded it for the club to retain control of the website.  Motion passed.
   4. KVCC Scholarship/Essay-Maureen: S. Lyon High School and S. Lyon East High School were sent the essay applications.  So, far there’s been three submissions. Deadline for submissions is April 19th, 2023. Students will be using the Google app to submit the essays. This is the second year the club is offering the $1,000 scholarship to the two high schools.  Last year there were 15 entries. The scholarships will be awarded at the Senior Honor night which is held in early June.  Maureen, Paige, Cheryl, and Paulina are on the committee that will decide the two winners.
   5. Desert Angels Packing Party: November 16th, 2023 is the date for the packing party.  Carol Sienko who attended the Pizza and Pop event at the S. Lyon Center of Active Adults (senior community) in February has been recruiting monetary donations and has set up a collection box at a local community business.
   6. Inspired Movement Project/Digital Play Space-Thad: This promotes physical activity for kids with disabilities. Thad stated the Sp. Ed. Director wants a demo .  To do this, will need to purchase the following items for a demo: Projector (estimated cost for a used one; Cameras; Laptop; Boom ; White Surface; White Tabletop; and Software. Maureen indicated she has several laptops that she’ll donate for use.  Cheryl and Hal will purchase the white table top at Ikea.   Cheryl made a motion and Vivian seconded it, to spend out of the general account to make the purchases (projector, cameras, laptop, boom, white surface, white tabletop, and software).  Motion passed. Thad will give Diana the info of the items to be purchased and she’ll make the purchases (except for the Ikea table).  Once the  items are obtained then Thad and Elijah will put it all together.  The goal is to first have a demo with the club members at the dinner meeting on March 23rd, and then set up a demo with the Special Ed. Director using the Sp. Ed. teacher’s classroom. This can also be used at Camp Civitan and other meetings. The club needs to complete and submit to CI the Club Project Grant Program Project Status Report by April 1st, 2023. This will be investigated further.
   7. Charity Poker-Elijah: He is resubmitting the application for the license for the May 11th-14th, 2023 event at Vision Lanes with the State of MI. Signup Genius for volunteers will go out in April. The second Charity Poker event will be June 15th-18th, 2023.
   8. Youth Entrepreneur Market (YEM): Theresa indicated the wrong dates were noted in the February minutes and newsletter.  The correct dates are May 13th, June 10th, July 8th, August 12th, and September 9th .  Elijah indicated youths from K-12 may participate. An application needs to be submitted, to the PD, FD, Planning Commission, and the City Council to hold the YEM events.  In addition, need a new sign to replace the old one (has a misspelling), several yard signs are needed to place at the Farmer’s Market directing customers down to the YEM, and flyers to hand out at the club’s table. Cheryl made a motion and Thad seconded it to pay out of the general account to cover the application fee, signs, and flyers for the YEM.  Motion passed. Cheryl will follow up with obtaining the insurance for the event.
   9. Music on the Grand: The club is sponsoring the children’s crafts for July 19th and August 2nd. Cheryl is currently putting together the craft activities for Camp Civitan and the club will use the leftovers for one of the events.  In addition, Nazmiye previously talked about doing face painting.
   10. Pumpkinfest Parade Volunteers (Crowd Control) September 29th-October 1st-Thad: Thad indicated 50 volunteers are needed to help with crowd/traffic control during the parade.  Thad is currently on the Pumpkinfest committee, and they already have 30 volunteers signed up.  To volunteer: https://www.southlyonpumpkinfest.com/volunteer/. Booth setup is from 3-7 PM on September 29th, Event runs September 30th from 10 AM-7 PM, and October 1st from 11 AM-6 PM.
   11. Adopt-A-Highway Cleanup Saturday April 22nd: Meet at the New Hudson Biggby Store (on Milford Rd.) at 10 AM. Rain date is Sunday April 23rd.
   12. Camp Civitan/Lottery Tickets-Cheryl: Camp is for individuals ages 13 and up who have intellectual developmental disabilities.  They just need to be mobile and care for their own hygiene.  The camp runs from June 8th-11th. So far, five campers are registered. All sorts of activities are planned: swimming, crafts, kayaking, movies, bingo, and the dance.  Need bingo prizes: gently used stuffed animals, flashlights, baseball hats, coloring books, crayons, bubbles etc. In need of counselors, especially male, and a RN.  Day help is needed too. The camp is entering its 32nd year. Cheryl has been able to keep the fee at $215 for the last eight years. The MI Raffle/Lottery tickets make this possible as the camp receives $2,600 from the proceeds.  The Livingston Co. Civitan Club sponsors the raffle/lottery tickets.  Tickets cost $5 each and the drawing is held in September with the three-digit evening drawing of the MI lottery.  Numbers are good for the entire month. Winning tickets pay out $50. Julie will be selling the 100 tickets that the club received.  Multiple tickets mean multiple chances to win.
   13. KVCC Tent: Hal has placed the order. The tent is blue with gold lettering (club’s name and Civitan logo). The quality of the tent is much better than the ones that Costco sells.  Hal suggests obtaining a plastic bin to store the tent in.  Tent should arrive within the next week or two.
   14. Youth Leadership Diversity Conference (YLDC): Diana indicated that she’s not been able to find any info on this. Theresa received the info the day after the meeting.  YLDC will be held on July 24th-29th, 2023 at Trine University in Angola, IN.  Cost is $375 and deadline to submit the application is June 1st, 2023. Cheryl called the meeting to order at 6:28 PM

1. Additions & Corrections: 2 Additions.  Elijah wanted to have discussion about the essay contest and Nazmeyi Yapici wanted to add aid to the earth quake victims in Turkey. 
2. Minutes: No additions or corrections. Phil made a motion to accept the minutes and Vivian seconded the motion.  Motion approved.
3. Treasury: Diana reviewed the treasury information and the balances of both the general and MP accounts. Diana reported that the only anomaly was a small charge which was actually costs for name badge material that Cheryl purchased. Elijah made a motion to accept the treasury report. The motion to approve was seconded, however I am sorry, I missed capturing it.  The motion to accept was passed.
4. Guests: Two guests attended the meeting and were from the “Pizza and Pop with the Civitans” held at the Center for Aging. Sandra Miller and Diane Wilson seemed very interested in joining the club.  I hope we can welcome them as members soon!
5. Correspondence: Information was presented about the South Lyon Channel 19 Community Television station. The station has information on historical data and is looking to promote events that the community does. Options include someone from the organization to participate in the “Spotlight on South Lyon” interview series, getting videos of events on SLACTV or providing PowerPoint presentations to SLACTV. Definitely something to consider for our upcoming events.
6. Member Initiation: Vivian officiated the initiation of Paige George.  Cheryl was Paige’s sponsor. See pictures of the event will be on the club website shortly.
7. Project Updates:
   1. Pizza & Pop with the Civitans: this event was a success! 28 people attended. Cheryl discussed the club’s Desert Angels Packing event and the Youth Entrepreneur Market. 2 ladies are interested in the road clean-up and 1 woman has a special needs grandchild and is interested in camp. The club also received permission to put a collection box in the center for Desert Angels.
   2. Music on The Grand: Karissa reviewed this year’s event dates and music genres. Karissa explained that there will be expanded food truck options and a food truck or menu geared towards children. The dates are: June 7, June 14, June 21, July 5, July 19, August 2 and August 15.  The club voted to participate in the July 19 & August 2 events. 
   3. Tent: With several events taking place this summer, Elijah raised the question of purchasing a tent.  The pros and cons of a plain white tent vs. the “Cadillac” version with our logo, color sides and top were reviewed.  After much discussion, the decision was made to purchase the “Cadillac” version.  Hal will get details and coordinate. Maureen made a motion for the club to spend up to $2,000 for the tent & case.  Karissa seconded the motion. The motion passed.
   4. Desert Angels Packing Party: Elijah brought up having our Desert Angels Packing party once a year versus twice a year. If we hold one event, between Halloween and Thanksgiving, we get the benefit of all the extra Halloween candy and the likelihood of more donations resulting in more boxes.  Last spring, we had about 86 boxes to send. In the fall, we had 232 boxes. Getting the community behind us with more boxes as a result, is more beneficial to the club, the community and our troops. The tentative 2023 date is November 16, 2023. A suggestion was also made about contacting Walmart & Lowe’s for donations as well as putting boxes & flyers at the senior center and at “Music on the Grand”.
   5. Inspired Movement (Digital Playspace): Thad is the point person on this project. There was no update on the project.  The club members present had discussion about the importance of moving this forward and going above the Special Education Director or potentially trying another school. The club received a grant for this project and it must be completed and a report turned in by April 2023, so moving forward aggressively is getting more important.   Hal will reach out to Thad & partner with him to get this project moving.
   6. Charity Poker: Elijah submitted the applications for our two events. We are just waiting or approval.  Elijah will send an electronic sign-up next month.  Please, please consider volunteering.  You are not actually playing poker so reservations about supporting poker are not an issue and you don’t have to know anything about poker to work the event. 
   7. Clean-the-Highway:  Dates for cleaning the highway have been posted.  KVCC will clean the highway on Saturday, April 22 and Sunday, April 23 will be the back-up date.  Meet at the New Hudson Biggby at 10:00 to clean.  Vests and reacher tools are provided. The second date is September 23 with September 24 as a rainy day back-up.
   8. Essay Scholarship: Elijah asked about this project.  Maureen said she would chair the project and that Cheryl was providing the letters, rules and application from last year.  The subcommittee so far is Maureen, Cheryl, Paige and Maureen will ask Paulina to participate.  Since I started the minutes, Paulina has agreed to be a member of the subcommittee. Letters will go to the two school principals the week of February 12, 2023 and students will have until April 19, 2023 to submit their essays. Paige is converting the application to a Google document so students can apply right on the application and submit it. Elijah will update our website once dates are confirmed and requirements finalized. 
   9. Youth Entrepreneur Market (YEM): Elijah reported that the dates for the 2023 YEM market events are May 14, June 11, August 13 & September 10.  Elijah summarized the program, for our guests. The market is held on the grassy land between Lucas Grill and Biggby Coffee on Pontiac Trail.
   10. Focus Hope: May 20 is the first date that the club will partner with the Plymouth Canton Civitan Club. Volunteers have to be at Focus Hope no later than 9:00 AM.  If you are interested in carpooling, meet at the Costco parking lot, located at I-96 & Middle Belt. 
   11. Elections: Cheryl brought up the club elections for the 2023-2024 year.  The club does not have a President-Elect so there is no one to move into the President office for the coming year.  If no one steps up, Thad will do a second year as President. Diana agreed to serve as Treasurer for another year and Maureen initially agreed to serve another year as secretary for the meeting minutes and newsletter.  However Maureen has since advised Cheryl that she will not serve another year.  Physical restrictions are making writing more difficult and keeping up with the discussion is getting hard. 
   12. Earthquake Victims: Nazyemi asked to discuss providing aid to Turkey for the earthquake victims. There is a need for money, diapers, bedding, sleeping bags, etc.  Money and items are being coordinated with the Turkish American Cultural Association of Michigan (TACAM). Nazyemi will talk to NACYM on process for donating.  Elijah made a motion to donate $1,000 to TACAM for relief efforts.  Diana seconded the motion and the motion passed. Diana will handle the donation when details are known. TACAM is a 501(c) so the donation can come from the MP account.

 

1. Upcoming Projects:
   1. Clean-the-Highway: April 22 and rain date is April 23, 2023
   2. Music on the Grand: Concerts start on June 7, 2023 and run every Wednesday.  KVCC is participating on July 19 & August 2.
   3. Youth Entrepreneur Market (YEM): Dates for the YEM are May 14, June 11, August 13 and Sept. 13. Please plan on attending one or more of the events to support our youth entrepreneurs.
   4. Focus Hope: Partner with Plymouth Canton Civitan Club.  Focus Hope Dates:
      1. May 20 & Oct. 14
   5. Charity Poker Dates:
      1. May 11th – 14th
      2. June 15th – June 18th
   6. High School Essay Contest: Communication will go to school principals the week of February 12.  Senior student essays are due April 14.   
   7. 2023-2024 Officer Elections: The President-Elect position is open.  Thad will do two years as President if no one else is interested. Diana agreed to serve as Treasurer for another year.

Next Meeting is a dinner meeting at Teresita’s Mexican Grill on February 23, 2023.  Teresita’s is located at 56310 Grand River, New Hudson, MI.  Maureen will send out an RSVP email with responses due to Nazyemi by February 20.  Nazyemi is working with the restaurant on seating.
