May 12th, 2022 meeting minutes

Present: Karissa & Elijah Canfield, Thad Bogert, Cheryl Van Vliet, Hal Hultman, Theresa Furget, Diana Bolton, and Maureen Posler

Elijah called the meeting to order at 6:30 PM.

1. Additions & Corrections: Maureen noted that Paulina Poplawska’s first name was spelled incorrectly in the April 14, 2022 minutes.
2. Minutes of Last Meeting: Motion to accept minutes of May 12, 2022 meeting made by Diana Bolton and seconded by Hal Hultman.
3. Treasurer’s Report: Extensive Treasurer’s report from Theresa Furget. No change to the MP account since Charity Poker event is this weekend.  There were several disbursements from the regular account (business cards, Pumpkinfest application, camp crafts, Desert Angels boxes postage, etc.).  Discussion held about adding more names to the MP account. Decision was to go to 5 member names on the account. Future names are Diana Bolton, Karissa Canfield, Rich Roberts, Phil Crutchfield & Theresa Furget.  Motion to accept Treasurer’s report made by Hal Hultman and seconded by Thad Bogert.   
   1. Club Banner & Tablecloth:  The new club tablecloth and banner were ordered and received. Both turned out great.  Maureen followed up with some vendors and Sue Misener took the logo and information to the vendors for the design and creation and picked up the completed banner & tablecloth.
4. Correspondence:  A very nice email was received from a service person that received a Desert Angels box.  The appreciation of the troops was heartfelt and everyone felt good about the Desert Storm project.  A second Desert Storm project will be planned for the fall.  Everyone at the meeting commented on how organized and what a good job Karissa did planning the event.
5. 2022 Civitan International Elections & Voting: The convention will be held in San Antonio, Texas, from July 4-7, 2022.  Delegates can attend virtually as well as in person.  Each club has a certain number of votes, based on size.  KVCC has 3 votes. Elijah will need to enter the delegate names by Monday, May 16, 2022 and delegates must register by the end of next week.  Thad Bogart, Diana Bolton and Maureen Posler will be the delegates for KVCC and all are attending the convention virtually.  Hal made a motion for the club to absorb the registration fee for the delegates and Diana seconded the motion. The motion passed. Voting takes place on Tuesday July 5, 2022.  
6. Growth Committee:
   1. Miracle Boxes: Approximately 50 members, guests and community members attended and participated in the Desert Angels project. 86 boxes were packed and sent. Very positive feedback.  Karissa was applauded for all of her work planning and organizing the event.  Cottage Inn donated the pizza for the event. Since the club learned a lot from this initial event, Elijah suggested that Karissa write instructions so that other clubs can do Desert Storm boxes.  A question was raised about whether the club should do a Desert Angels event twice a year. Most members present thought that October would be a good month for a second event.  
   2. Website Update: Lisa Dilg was not at the meeting. Elijah mentioned that he has been posting the minutes on the website.
7. Project Updates:
   1. Adopt-a-Highway: 5 members attended the Adopt-a-Highway event on April 30, 2022. 
   2. Inspire Movement (Digital Playspace) Project: KVCC was the winner of a Civitan International Impact Area Club Project Grant (Health & Wellness category). The winners of the grants were invited to present at the International Convention. Thad wasn’t sure he could attend.  Maureen suggested that perhaps Thad could present virtually.  The potential for club recognition could be great, so if we can capitalize, we should.  Thad has also not heard from the district about the project & he will follow up.  It was decided that Thad would get the specs and members could vote at the next dinner meeting on purchasing a 3-D projector so we could demonstrate the Digital Playspace and potentially use the Digital Play Space at Camp Civitan. .
   3. Youth Entrepreneur Market:  Karissa advised the group that the first meeting of the Youth Entrepreneur Market has been postponed until June 11, 2022.  Only 3 youths signed up.  Members looked at the flyers and marketing materials to see where we could improve. Elijah will create new images and flyers before June 11.  Volunteers are needed for the June 11 event.  Sue Misener is the point person for volunteers.
8. Potential Project Updates:  Karissa returned from the April NC District meeting with projects that other clubs had done.  These could be potential projects for KVCC.  Some potential projects suggested included a Trivia Fundraiser, Christmas bags for group homes, a Karaoke Night & possibly a dance for disabled youths.
9. Upcoming Projects:
   1. South Lyon Scholarships:  2 scholarships were awarded to South Lyon high school students.  Morgan from South Lyon East High School and Layne from South Lyon High School were the winners.  9 applications & essays were received. Cheryl VanVliet, Sue Misener, Paulina Poplawska & Maureen Posler selected the winning essays.  Certificates, an award letter and a check for $1,000 will be presented at the senior award nights for each high school.  The award night for South Lyon East High School will be June 7, 2022 and on June 8 for South Lyon High School.  There was no decision if someone from the club would present the awards or if the school will present. Who will get the award checks is also pending. 
   2. Charity Poker: The next charity poker event is this weekend.  We need volunteers for runner positions.  Please see the Sign-up Genius previously emailed to sign up.    
   3. Focus Hope: The next event dates are May 21 and Oct. 8.  If you are not working Charity Poker this weekend, consider volunteering for Focus Hope. 
   4. Memorial Day Parade: Thad brought up the club participating in a Memorial Day parade. Volunteers will be needed to walk in parade if KVCC is to participate. 
   5. Camp Civitan: Camp Civitan is June 9-12, 2022.  Cheryl has the largest number of campers so far – 74!  The theme is Disney. If you have not purchased raffle tickets yet, please plan to do so soon. If you have any stuffed animals or other items that could be used as bingo prizes, please let Cheryl know. 
   6. Music on the Grand: At the last meeting, Karissa talked about music nights that will take place every other Wednesday.  As of now, KVCC will volunteer at two of the music nights – June 15 which is Blues night and July 27 which is Country music night.  The times are 6:00 PM – 8:00 PM. Please volunteer if you are able.
   7. Adopt-A-Highway: Future dates for the highway clean-up will be September 24 – October 2, 2022, which is the weekend after Pumpkinfest.  A definitive date was not established; however October 1& 2, 2022 appeared to be the best dates. 
   8. South Lyon Pumpkinfest:  Pumpkinfest will take place on September 24 (9:00 AM-7:00 PM) and September 25 (11:00 AM – 6:00 PM).

 
Next Meeting: The next meeting will be a dinner meeting on May 26, 2022 at the Teresita Mexican Grill at 6:30 PM.     
 
A motion to adjourn the meeting was made by Karissa Canfield at 8:25 PM and seconded by Diana Bolton.
