JULY 13, 2023 MEETING MINUTES

Present: Phil Crutchfield, Kris Krzyzanski, Maureen Posler, Cheryl VanVliet, Thad Bogert,  Julie Pelletier, Paulina Poplawska, Karissa & Elijah Canfield, and Theresa Furget.
Thad called the meeting to order at 6:30 PM.
  1. Additions & Corrections:  Theresa added Dues under 5i, Cheryl added Desert Angels under 5j, and Retreat in Hell under 5k.
  2. Approval of the June 8th, 2023 Minutes: Kris made a motion and Phil seconded it to accept the minutes. Motion passed.
  3. Treasurer’s Report-Theresa: Theresa went over the treasurer’s report that Diana prepared for June. Phil made a motion and Maureen seconded it to accept the treasurer’s report. Motion passed.
  4. Correspondence: None.
  5. Project Updates:
    1. Club Elections 2023-2024: Thad stated he would continue in the president role, Diana as treasurer, and Theresa as secretary. Still need a president elect. Thad will reach out to a few members to see if they will fill the position. Must hold election within the next two months. Theresa believes that the deadline to report club officers to Civitan International (CI) is October 1st, 2023.
    2. Civitan International Convention Indianapolis, August 17th-20th, at the Hyatt Regency, room rate of $149 per night. The deadline for room reservations is July 14th. Further info can be found at www.civitan.org/convention. Cheryl, Hal, and Theresa have been registered as the club’s voting delegates. Theresa did obtain clarification from CI that voting delegates can only represent one club. There is no issue with overlapping delegates with the Plymouth-Canton Club as they do not get any voting delegates as the club is not in good standing currently.
    3. Camp Civitan-Cheryl: There were 58 campers, she thanked everyone that helped as counselors and came out during the day. She acknowledged Karissa’s dad and stepmother who came out for a day. Thad led the members in a round of applause acknowledging all of Cheryl’s hard work in putting on the camp. All the MI Lottery tickets have been sold according to Julie. Newest member Carol sold almost half of them. Great job Julie and Carol! The lottery will be held in September, good luck all!
    4. Charity Poker/State of MI (SOM) Audit-Elijah:  This is schedule for next week. This is the first time the club has had an audit and it’s a learning experience as to what records/documentation the club needs to keep. On June 21st, the SOM requested: validated bank deposit slips/receipts, bank statements, cancelled checks, and all invoices/receipts from December 2022 to June 2023 from the MP account. Elijah is confident that the meeting will go well. There’s still the issue of the erroneous charge on Phil’s debit card from the MP account with Community Choice Credit Union. Phil will check tomorrow with Community Choice tomorrow and try to get this straightened out .  It’s believed that the charge was $59 or so.
    5. The Youth Entrepreneur Market was on July 8th, the next one is August 12th from 10 AM to 3 PM. Members are needed to help set up and tear down the club’s tent around 9 AM. Wear your club tee shirt and name badge. For the July market there were about eight youth vendors and did pretty good despite the rain. Three backed out due to the rain. In August there’s supposed to be about 15 vendors. Social media boosts will be done prior to the next event. September is the last market, and the club needs to acknowledge/celebrate all the youth that participated this year.
    6. Music on the Grand July 19th at Inspiration Park-Karissa: Toppermost Beatles Tribute from 6-8 PM. The club will be running the children’s crafts. Set up is at 5 PM and assisting with children’s crafts. Wear your club tee shirt and name badge. The food truck will be BBQ. Cheryl has a windsock for the kids to make and will bring a couple of carnival games (used at Camp Civitan) for participants to play with prizes to be awarded. Karissa stated this is volunteer appreciation night and all volunteers will receive free food. Bryan Gutierrez’s group “The Social Crew” is adopting KVCC, and the club may receive some donations in addition to recognition that night. A box for Desert Angels was discussed also for the night.
    7. Pumpkinfest September 30th-October 1st: Cheryl indicated that stuff animals are needed, and the collection should be started. Also, Thad has some LED prizes left over, but more should be ordered now and not wait until Pumpkinfest.
    8. Inspired Movement Project (Digital Play Space)-Thad: He has reached out again to the Special Ed Director Sue, who now has contacted the school district’s IT person to set up a meeting. Paige never received any response from the Milford school district. Thad will reach out to the Early Childhood Center again.
    9. Fourth Quarter Dues-Theresa:  Diana asked Theresa to remind everyone that dues are now due. Diana will be sending out reminders shortly to members who still need to pay.
    10. Desert Angels Packing Party-November 16th-Cheryl: Need to start getting the flyers out and start collecting the items. Karissa will confirm with the Lyon Twp about November 16th. Cheryl is putting a notice in the Senior’s newsletter asking for donations. Elijah stated the postal boxes that have been used in the past are no longer available. Will have to use the medium size Priority boxes which will cost more. So, may not do as many boxes.
    11. Retreat in Hell-Cheryl: Cheryl invited the members out to Hell, MI. She and Hal will provide the meat to grill, nonalcoholic beverages, and everyone will bring a dish to pass and alcoholic beverages if they want. It was decided to go to Hell on Sunday August 27th.
    12. Wine for Humanity-Karissa:  This is a wine tasting party at her place on August 23rd at 6 PM and any wine purchased will have the proceeds donated to KVCC.
  6. Dinner Meeting July 27th: Teresita’s Mexican Grill at 6:30 PM. Theresa will make the reservation.
  7. Next Business Meeting August 10th.
  8. Adjournment: Kris made the motion and Paulina seconded it to adjourn the meeting at 7:35 PM.
