​Kensington Valley Civitan Club Business Meeting Minutes
April 11th, 2024
Present:  Maureen Posler, Cheryl VanVliet, Hal Hultman, Thad Bogert, Diana Bolton, Paulina Poplawski, Karissa & Elijah Canfield, Carol Sienko, and Theresa Furget.
Thad called the meeting to order at: 6:30 PM.
  1. Additions & Corrections: Thad added American Brain Tumor Association under 5n.
  2. Minutes Approval-March 14th, 2024Hal made a motion and Maureen seconded it to approve the minutes. Motion passed.
  3. Treasurer’s Report :Diana went over the April  financial report. Hal made a motion and Carol seconded it to accept the treasurer’s report. Motion passed.
  4. Correspondence: Theresa passed around the Christmas card from Doug Powell with pictures of himself and his granddaughter Gail.
  5. Project Updates:
    1. North Central Meeting: Cancelled.
    2. CI Convention:  Will be held in Albuquerque, NM August 4th-7th, at the Embassy Suites by Hilton with room rates at $159 plus tax. This includes breakfast and the manager’s afternoon reception. Further details can be found at: https://civitan.org/convention/.
    3. Youth Leadership and Diversity Conference (YLDC) July 7th-12th:  Theresa handed out packets concerning the conference. The cost is $375 per delegate. Elijah has some nieces/nephews he’ll contact along with contacting the YEM parents. Vivian’s great granddaughter Alyssa Gale has completed an application and she’s requesting that Alyssa be given a KVCC scholarship to attend. Paulina made a motion and Hal seconded it  that the club give Alyssa a scholarship of $375 out of the MP account to attend YLDC for 2024. Motion passed. It’s stipulated that delegates sponsored by the club come and give the club a presentation of their experiences.
    4. Camp Civitan June 6th -9th: Cheryl stated that she has 35 campers so far. She had to raise the cost to $230 this year. She’s looking for the club to provide a scholarship to a Lansing camper as there’s no longer a Civitan club in Lansing. She still needs bingo prizes, but no jewelry. Camp theme is Halloween. Carol has raffle tickets to sell as a fundraiser for the camp. Thad made a motion and Carol seconded it to provide a scholarship to a Lansing delegate (Cheryl will determine who receives the scholarship) at the cost of $230 to come out of the MP account. Motion passed.
    5. Essay Scholarships: Maureen reported five essays have been received so far. The deadline is April 17th, and she expects this is when the rest of the entries will be received. After this time, the committee will meet and decide the winners for each high school in S. Lyon.
    6. Charity Poker May 9th-12th:  Elijah reported that 14 members are signed up to work the event, there are 16 slots. Only two slots need to be covered: Runners  for 05/11 and 05/12. He went over the procedures for working the event and a copy of the document will be available at the event for guidance. To sign up to work the event:

  1. 20th Annual S. Lyon Area Creek Cleanup April 21st: Diana indicated the donation check to be a sponsor ($500) has been sent. The club is the only sponsor that’s providing refreshments before the cleanup starts. Karissa is donating the coffee  and she’ll also provide hot chocolate ($60). This will also include the cups, condiments, and napkins. Thad will pick up two boxes of granola bars ( about 100 bars) and bananas from Costco. Paulina made a motion and Karissa seconded it to spend up to $125 from the MP account to cover the hot chocolate, granola bars and banana’s. Motion passed. Members (Thad, Hal, Cheryl, Diana, and Theresa) will set up around 8 AM .  Hal will bring the tent and tablecloth; Thad will bring the table and chairs. Diana will pick up the beverages from Biggby. The event is located behind McHattie’s Park at MI Seamless Tube & Pipe (MST) located at  400 McMunn  St. S. Lyon, 48178.
  2. Greater Brighton Area Chamber of Commerce: See below-YEM.
  3. Youth Entrepreneur Market (YEM) May 11th: The Greater Brighton Area Chamber of Commerce will be doing a ribbon cutting ceremony at 9:45 AM to welcome the club into the chamber  and opening the start of the YEM for 2024. Elijah is asking the youth (has about nine vendors so far) to start setting up at 9 AM and for members to come at 8:45 AM to set up. The club will provide refreshments of water, hot chocolate, and cookies. The discussion was to obtain magnets with YEM info along with the club’s logo. About 200 magnets (left over’s can be used at other events to  promote the club and YEM. The magnets and club brochures will be handed out in cellophane bags (Karissa has these) at the ribbon cutting event. Also, a basket with the products from each vendor will be raffled off. Karissa made a motion and Cheryl seconded it that the club spend up to $350 out of the general account to obtain the refreshments (hot chocolate, water, and cookies), promotional items (magnets), and about $10 item from each youth vendor  for the raffle basket. Motion passed. Elijah passed around flyers of the YEM for members to take and post wherever they can. Also, the YLDC packets will be passed out to the youth vendors. There was discussion of Facebook advertising via boost. Thad made a motion and Paulina seconded it that the club spend $10 per YEM event (5 events at a cost of $100 in total) to come out of the general account to boost the event on the club’s Facebook page. Motion passed.
  4. Music on the Grand June12th: Karissa has kite kits for the June event. Will do the carnival games for the July and August events. Will see if Nazmiye will do facepainting.
  5.  Focus Hope May 18th: The Plymouth-Canton Civitan club needs help (especially younger individuals to lift the boxes) in building food boxes for seniors and lower income individuals. If interested, meet at the Costco parking lot located at I-96 and Middle Belt Rd at 8:15 AM to carpool down to Focus Hope. Otherwise, you can drive directly to Focus Hope (by 9 AM) located at  1400 Oakman Blvd, Detroit 48238. Parking (surrounded by a black fence) will be across the street from the building. Afterwards the group will go to lunch at Polonia’s and make a visit to the New Palace Bakery.
  6. Adopt-a-Rd Cleanup April 14th: Meet at the New Hudson Biggby located on Milford Rd. at 10 AM.
  7. Inspired Movement Project (Digital Play Space): No update.
  8. American Brain Tumor Association 5K Run:  Elijah went over the info about the May 18th 5K run which also includes a Brews & Chews event to be held at the Kensington Metro Park. Members decided to pass on this.
  9. Pumpkinfest September 28th-29th : Theresa indicated that she received the 2024 application for the event. She’ll complete it and let Diana know when the fee must be paid. The booth fee for the year has increased from $50 to $60. Thad made a motion and Carol seconded it that $60 be spent out of the general account to pay for the booth fee. Motion passed.
  10.  Facebook Page Content-Cheryl questioned what’s been appearing on the club’s page as she’s not really seeing what the club has already posted. Karissa suggested she needs to click on Search and select prior to starting  the scroll process.
  1. Dinner Meeting April 25th  at 6:30 PM at Teresita’s Mexican Grill.
Adjournment: Carol made a motion and Karissa seconded it to adjourn the meeting at 7:50 PM. Motion passed.
