​Present: Diana Bolton, Julie Pelletier, Karissa & Elijah Canfield, Paige George, Maureen Posler, Cheryl VanVliet, Hal Hultman, Carol Sienko, and Theresa Furget.
Elijah conducted the meeting in Thad’s absence and  called the meeting to order at 6:30 PM.
  1. Additions & Corrections: Maureen added Scholarship/Essay Contest under 6h.
  2. Approval of October 12th, 2023 Minutes: Paige made a motion and Maureen seconded it to approve the minutes.  Motion passed.
  3. Treasurer’s Report-Diana: Diana went over the November financial report.  Hal made a motion and Carol seconded it.  Motion passed.
  4. Correspondence: None.
  5. Project Updates:
    1. Inspired Movement Project (Digital Playscape): No Report.
    2. Focus Hope October 14th-Cheryl: While no KVCC members were in attendance, Cheryl reported that about 660 food boxes were built .  A sorority of about six ladies helped the Plymouth-Canton Civitan Club.
  6. Upcoming Projects:
    1. Desert Angels November 16th Packing Party:
i.Centennial Middle School finished with a count of 553 items, and Millennium Middle School finished with a count of over 800 items.  Theresa passed around a picture of the kids at Centennial Middle School. A thank-you letter needs to be sent to the two schools.  Maureen will prepare it and they will be sent after the packing party so pictures can also be sent to the schools showing what they helped to accomplish.
ii.Volunteer Forms:  Kids can bring their own, or Cheryl has some generic forms that can be completed and signed that night by Thad as club president.  This allows the kids to get recognition/credit for their volunteer work.
iii.Donations: Elijah stated the number of donations collected so far is down from last years collection. Paulina has over 250 books that she’ll bring to the packing party. iv.Trailer: Elijah will use Diana’s trailer (which is all enclosed) to pick up and take items to the Lyon Twp. Municipal Center located at 58000 Grand River in New Hudson, 48165.
v.Food: Pizza, dessert, and drinks: Karissa will oversee Pizza.  She’ll plan for about 75 attendees.  Diana will bring the general account debit card to order additional pizza if needed.  Since Theresa will not be in attendance, she’s given Diana the plates, napkins , cups, and tablecloths.  Maureen will also bring additional plates and napkins.  Cheryl and Hal will bring the 2-liter beverages and additional cups.  Any beverages left over will be used at the club’s Christmas party. Diana will bring the cookies.
vi.iPad: Volunteer Database: Diana passed around a QR code for members to see the log that’s going to be used to get a database of the attendee’s.  Discussion was what needed to be added/revised: club upcoming activities and club membership.
vii.Civitan Info Table: Cheryl will bring a table and the club’s tablecloth.  She’ll have Civitan/KVCC brochures that attendee’s can pick up.  Vivian and Maureen will man the table. 
viii.Set-up planning, arriving at 5 PM: Plan to arrive at 5 PM to help unload the trailer and setting up.  The public will start to arrive at 5:30 PM.  The discussion was about having a coloring/card station for individuals to color.  Cheryl will bring the crayons and both she and Karissa will provide pictures to color.
  1. Holiday Fair November 18th-Cheryl: This is being held at United Methodist Church/Inspiration Park located at 56870 Grand River Ave, New Hudson, 48165 from 10 AM-3 PM.  Cheryl and Maureen will man the club’s table to hand out Civitan/KVCC info. Since Theresa is unable to attend, someone needs to take her place.  
  2. Giving on the Grand November 25th-Karissa: This will be held at the United Methodist Church/Inspiration Park located at 56870 Grand River Ave, New Hudson, 48165.  The pancake breakfast (donation) will start at 9 AM with the setting up of the holiday inflatables and lighting to follow.  Sue has the club’s two inflatables and will be on hand with helping to set them up. Additional members are needed to help.
  3. Adopt-A-Family Planning/Shopping Date-Cheryl: Vivian contacted Active Faith today and they will have the kids names (5-6) by the 16th. Paige will pick up the names from Active Faith and organize the gift list for each kid. Members will meet at the Wixom Target on Sunday December 3rd at 9:30 AM (front of the store) to do the shopping.  Last year the budget was $600, and the actual spending was about $620.  Diana made a motion and Maureen seconded it,  to spend up to $650 ($100 per kid) out of the MP account.  Motion passed.
  4. Festival of Trees at Abbey Park at Mill River-Cheryl: Members will meet on Sunday November 26th at 11 AM to decorate a tree. Cheryl has the ornaments and this year’s theme will be poinsettia’s. Diana and Carol will help, and any others are welcome to join in the decorating. The facility is located at Abbey Park at Mill River, 28413 Abbey Lane, NH, 48165.  The festival runs from November 26th to January 8th, 2024.
  5. Club Christmas & Wrapping Party December 14th at 6PM: Diana volunteered to host the party at her house and to obtain a spiral ham (members will contribute towards the purchase of the ham. Members will bring a dish to pass and BYOB. She’ll set up Sign-up Genius  online.  Her address is 27965 Pontiac Trail, S. Lyon 48178.  She indicated that GPS doesn’t like her address, so try putting it in New Hudson instead. For the wrapping party, bring wrapping paper, tape, and scissors.  Theresa has already bought six large gift bags, 100 gift tags, and six festive tablecloths that she’ll give to Diana after the meeting.
  6. Charity Poker 2024 Save the Dates: May 9th-12th, 2024, and June 20th-23rd, 2024. Also, Theresa indicated that the State of MI (SOM) issued new MP rules that took effect on October 23rd, 2023.  Elijah didn’t receive this email from the SOM.  She’ll forward the email to him, and Hal asked to be included.  Anyone else that wants a copy, contact Theresa.
  7. Scholarship/Essay Contest 2024-Maureen: She put together a document that she passed around to members  concerning the 2024 scholarships. Committee members will include Paige, Paulina, Cheryl, and herself.  Anyone else that wants to join the committee is welcome to do so. Just let Maureen know. She’ll also send an email out to members  asking for interested members. Revisions to include: 1. Removing GPA from the application; 2. Revise volunteer activities to read: “List volunteer and/or school activities and highlight any leadership roles”; 3. Describe how your experience in a specific volunteer activity has impacted you personally or your future career goals.  Please be specific. Members liked the revisions.  Paige will revise the application to reflect the changes.  Maureen also put together a schedule of tentative dates for when the essays are announced (January 15th), due (March 15th), evaluated (April 1st-19th), winners given to the schools (May 20th) and award nights (June 5th-7th). She’ll check with the schools for the actual dates that the schools determine and then make revisions as needed.  Last year four scholarships were given out (two to each school) and the previous year only two were given out (one to each school).  Discussion was whether to continue this or not.  The MP account is healthy and would support four scholarships of $1,000 each. Members decided that the quality of the essay’s would determine how many scholarships would be handed out.

  2. Adjournment: Maureen made a motion and Paige seconded to adjourn at 7:32 PM. Motion passed.
  3. Carol gave Diana a check from Jeri Psyz (sp) for Desert Angels.
